Reviewing Client Submissions

Verify, correct, and approve client questionnaire responses before they're submitted to the official DS-160 portal.

Every submission a client sends through their intake link arrives in your workspace as a draft. Nothing reaches the official DS-160 system until you approve it.

Where submissions appear

The Submissions tab on each form lists all responses, sorted by most recently updated. Each row shows the client’s name, the percentage of the form completed, and the current status (Draft, Ready for Review, Approved, Submitted).

Reviewing answers

Open a submission to see every answer alongside the question. Use the section sidebar to jump between Personal, Travel, Family, and other DS-160 sections. Anything the client left blank is highlighted; anything that fails consulate-specific validation is flagged inline.

Edit cycles with the client

If you need clarification, leave a comment on a section and re-share the intake link. The client picks up where they left off and sees only the sections you flagged.

Approve and submit

When a submission is clean, click Approve. The form-agent picks up approved submissions on a short polling interval and fills the official DS-160 portal. You’ll receive a notification with the application ID once submission completes; the receipt is also stored against the submission for audit purposes.

Audit history

Every change to a submission — by you, your teammates, or the client — is logged in History. Use this to investigate disputes or to review who approved a particular submission.
